A plugin renewal notice is easier to handle when it is not the first time anyone has examined the license. The website may depend on updates, support or an external service included with that subscription. Those dependencies should be understood before the payment date arrives.
Record the vendor, product edition, number of sites and account owner. If a contractor purchased the license, clarify whether the client can manage it independently. A working plugin on the website does not prove that the website owner controls the account used to download updates.
Read the actual expiry terms. Some products continue running while updates and support stop; others include hosted services or licensed features with different behavior. Do not assume that every plugin stops immediately, and do not assume that every feature will remain available indefinitely. Ask the vendor about the exact edition if the wording is unclear.
List the features currently used. A site may have outgrown a plan, or it may be paying for a suite while using only one small function. Compare alternatives only after considering migration, data export and maintenance. The cheapest renewal is not necessarily the cheapest operational choice.
Check whether billing details, account email and renewal notifications still reach the right person. A message sent to a former employee can turn a routine renewal into a sudden loss of update access. Store credentials in the approved password manager rather than copying them into a license spreadsheet.
Before cancelling, export any needed information and confirm what happens to connected services. If a replacement is planned, test it first with representative content. Do not remove the old tool simply because the new subscription has been purchased.
Keep a brief decision record: renew, change plan or replace, with the reason and next review date. This avoids repeating the same investigation every year. More importantly, it keeps software maintenance connected to the site's actual needs rather than treating renewals as unexplained charges that someone notices only after they fail.
Read the diagram as text
- Renew: The current edition still fits and the maintenance arrangement is workable.
- Change plan: The required features or number of sites no longer match this edition.
- Replace: Test the new workflow and data transfer before cancelling connected services.
Record the reason, account owner and next review date.
